The headquarters of the AXA Group (GIE AXA) brings together our corporate activities. It provides guidance and support to subsidiaries around the world, to ensure the coordination and monitoring of the Group's global strategy, the application of its standards, the consistency of commercial approaches and the sharing of best practices. Within the Group, you will join the AXA EssentiALL department as Personal Assistant to the AXA EssentiALL CEO and the team. AXA EssentiALL, originally established in 2016 as AXA Emerging Customers, operates as AXA's dedicated inclusive insurance business unit addressing the protection gap for modest-income populations. Initially launched in emerging markets, this profitable social enterprise has expanded its operations to European markets since 2023. Its objective is to provide essential insurance coverage and better protect those individuals and small companies who are too rich to be poor, too poor to be rich, and therefore, more often than not, fall between the cracks of insurability.

AXA EssentiALL is part of the key building blocks of AXA's 2024-2026 strategic plan and serves nearly 20 million customers across 13 emerging and 8 mature countries, offering attractive, accessible, and affordable inclusive insurance solutions.

YOUR ROLE AND RESPONSIBILITIES

This role is a key & essential pillar for the team, one on which it strongly counts to be able to develop the business.

You will provide support to the AXA EssentiALL CEO
  • Manage the day-to-day agenda, schedule international meetings and appointments
  • Book travel and other arrangements
  • Perform multifaceted general office support: time-off, purchases, expense accounts
  • Collaborate with other executive and administrative assistants throughout the organization to ensure smooth execution and high-quality service
  • Coordinate visitor & guest logistics
  • Maintain meeting distribution lists up to date

You will also support the team and contribute to the department's cohesion
  • Plan travel arrangements
  • Schedule team meetings and community calls. You can be a part of these calls if you wish to be.
  • Organize new employee arrivals and departures
  • Ensure accuracy of expense accounts, assist with the creation of purchase orders (POs), process invoices and ensure timely payment follow-up
  • Track and monitor the team's holidays and absences
  • Manage department logistics (office supplies, IT equipment & inventory)
  • Organize department internal & external events and celebrations, in France and abroad/international. You can be a part of the organization if interested.

You may also perform the following non-exhaustive tasks
  • Handle correspondence
  • Support visa and work permit processes for international travel or hires
  • Perform other duties as assigned

YOUR PROFILE

Background and experience
  • Previous successful experience as a Personal Assistant at Senior Executive Level in an international environment

Technical and professional skills
  • Experience of managing complex diaries and travel arrangements
  • Rigorous, strong organizational and planning skills, with attention to details
  • Excellent time management skills
  • Proficiency in MS Pack Office: Word, Excel, PowerPoint, Outlook
  • Fluent in French and English (written and oral)

Soft skills and competencies
  • Highly discreet and confidential
  • Excellent interpersonal skills
  • Effective verbal, listening and written communication skills
  • Team player and able to collaborate easily
  • Strong ability to adapt to situations and be solutions-oriented
  • Capability to navigate in an international organization at senior levels
