Job Description Summary

JOB PURPOSE

Based on the activities assigned by his/her superiors, the Purchasing Administrative Assistanthandles the administrative aspects of purchasing.
He/she supports the purchasing teams.

Job Description
SIGNIFICANT ACTIVITIES

- Contribute to the implementation of purchasing processes, in collaboration with the teams purchases
- Centralize and transmit the information needed to set up sales operations (opening supplier accounts, transmitting invoicing information, supplier listing details, etc.)
- Ensure compliance with contractual terms and conditions with suppliers
- Monitor and update internal (reporting of indicators, etc.) and external (lead times, costs, service rates, etc.) monitoring indicators
- Filing and archiving of files (contracts, calls for tender, etc.)
- Administer and update purchasing tools (price list, etc.) and support users
- If necessary, place orders with suppliers on the basis of negotiated conditions and requirements and report to internal stakeholders
- Process supplier invoices (checks, accounting entries, reconciliations, etc.) within its scope of responsibility
- Contribute, where necessary, to the identification and introduction of new suppliers, in collaboration with the purchasing teams

- Ensure administrative management of purchasing
- Provide support to purchasing teams
- Be a key contact for internal and external stakeholders

Ensure the quality of data input (business tools, contract database, etc.)

Know and apply internal and external compliance procedures and rules

PROFESSIONAL KNOWLEDGE

Diploma(s) and/or experience(s)

Professional baccalaureate to baccalaureate +2 in administrative field preferred and/or significant experience preferred

Specific knowledge(s)

- Professional administrative knowledge
