Office & Ship Administrator

Summary of the Responsibility and Accountability:

  • Provide day-to-day office administrative support
  • Handle incoming and outgoing mail, post, and courier shipments
  • Maintain office supply inventory and coordinate refill when needed
  • Follow up on required paperwork to support compliance with legal and company requirements
  • Maintain records of licenses, permits, insurance, and other key administrative documents for office & ship
  • Monitor and follow up on contract expiry dates for office and ship operational services, such as the copy machine, insurance, and similar agreements
  • Support VAT administration and related documentation requirements
  • Closing of customs docs, declaration of beverage and calculating excise and duties - after each loading
  • Coordinate service and maintenance follow-up for office equipment and related services
  • Perform other tasks as advised by Supervisor


The selected candidate should possess:

  • Candidates must already possess the legal right to work in France
  • Demonstration of company values, particularly open and courageous communication and risk taking
  • Fluency in French & English (both written and verbal)
  • Attention to details and accuracy
  • Flexible, outgoing, and resourceful self-starter who can work both in a team and independently
  • Ability to organize work, prioritize and meet deadlines
  • Proficient in Microsoft Office tools
  • Proven effectiveness communicating across cultures
