Drive Operational Excellence as a Project Manager Officer in the CEO Office

Are you ready to play a pivotal role in supporting the CEO and the Chief of Staff & Head of Communication? AXA Partners is seeking a dedicated Project Manager Officer to join our dynamic team in Malakoff. You'll be the operational engine of the CEO Office, ensuring the effective planning, coordination, and execution of governance activities, executive meetings, and strategic events.

What you'll be doing:

As a Project Manager Officer in the CEO Office, you'll be at the heart of our operations, driving discipline, consistency, and execution excellence. You'll support the CEO, the Chief of Staff & Head of Communication, and the broader CEO Office by managing executive governance activities, coordinating meetings, and facilitating strategic initiatives. This role offers a unique opportunity to work closely with senior stakeholders and make a significant impact on our organizational success.

Your main missions will include:
  • Executive Governance & Meeting Management
    • Coordinate the annual calendar of Executive Committee meetings and governance forums.
    • Manage logistics, agendas, meeting documentation, and participant communications.
    • Distribute agendas and pre-read materials ahead of meetings.
    • Maintain and monitor the Executive Committee action log and follow-up process.
    • Ensure decisions and actions are appropriately tracked and completed.
  • CEO Office Operations
    • Prepare executive reports, presentations, briefing packs, and governance documentation.
    • Support the preparation of executive correspondence, announcements, and templates.
    • Coordinate CEO Office governance activities and recurring executive processes.
    • Manage scheduling, planning, and preparation of key executive meetings.
    • Support the execution of annual governance calendars and milestones.
    • Facilitate information flow and ensure timely communication across stakeholders.
  • Offsites, Visits & Executive Events
    • Organize Executive Committee offsites and coordinate logistics, agendas, participant communications, and supporting materials.
    • Support market visits, Management Committee visits, and executive stakeholder meetings.
    • Ensure smooth participation of the CEO in internal and external events.

What you'll bring:

To excel in this role, you'll need a combination of strong organizational skills, attention to detail, and the ability to work effectively in a dynamic, international environment.

Your skills and experiences will include:
  • Experience in PMO or Project Management: 5+ years of experience in PMO, project management, executive office, consulting, or business operations.
  • Supporting Senior Leadership: Experience supporting senior leadership teams or executive governance forums.
  • Organizational and Planning Skills: Strong organizational and planning skills, with the ability to manage multiple priorities and deadlines.
  • Attention to Detail: Excellent attention to detail and execution discipline, keeping a 360-degree view and able to connect the dots.
  • Technical Proficiency: Advanced PowerPoint, Excel, and reporting capabilities.
  • Communication Skills: Highly effective communication skills, with the capacity to adapt to local cultures and contexts, and experience working internationally in a matrix organization.
  • Proactive Mindset: A proactive mindset, anticipating needs and actions, and striving for excellence.
  • Confidentiality and Integrity: Deep listening, humility, pragmatism, and confidentiality, fully embodying the values and reflecting the image of the CEO in interactions.
