Facilities Assistant / Floor Captain

Position Overview

The Facilities Assistant / Floor Captain serves as the primary on-site point of contact for facility operations, providing frontline support to building occupants and ensuring smooth daily operations. This role combines customer service excellence with hands-on facilities management, acting as the visible face of JLL's integrated facilities management services.

Key Responsibilities

Customer Service & Communication Serve as the first point of contact for all building occupants, visitors, and vendors. Respond promptly to inquiries, service requests, and concerns with professionalism and courtesy. Maintain positive relationships with tenants and stakeholders, ensuring high levels of customer satisfaction. Communicate effectively across all levels of the organization and with external parties.

Facilities Operations Management Conduct regular floor walks and building inspections to identify maintenance needs, safety hazards, and opportunities for improvement. Monitor building systems and equipment, reporting any malfunctions or performance issues promptly. Coordinate with engineering and maintenance teams to ensure timely resolution of issues. Oversee daily housekeeping standards and janitorial services to maintain pristine building presentation.

Service Request Coordination Receive, log, and track service requests using computerized maintenance management systems (CMMS). Prioritize requests based on urgency and impact. Follow up on outstanding work orders to ensure completion and occupant satisfaction. Maintain accurate records of all activities and services provided.

Vendor & Contractor Management Coordinate access for vendors and contractors, ensuring proper authorization and safety compliance. Monitor vendor performance and service delivery quality. Assist with scheduling preventive maintenance activities and special projects. Serve as on-site liaison during after-hours or emergency service calls when required.

Health, Safety & Compliance Ensure compliance with all health and safety regulations. Conduct safety inspections and maintain safety equipment. Respond to emergency situations following established protocols. Support emergency preparedness initiatives and participate in drills. Report incidents and near-misses promptly.

Administrative Support Maintain organized documentation of building operations activities. Assist with meeting room setups and event coordination. Support move management and space planning activities. Prepare reports on facility performance metrics and service delivery.

Qualifications

Required:
  • 2+ years of experience in facilities management, building operations or hospitality
  • Strong customer service orientation with excellent interpersonal skills
  • Proficiency with Microsoft Office Suite and ability to learn CMMS platforms
  • Effective written and verbal communication skills
  • Ability to work independently and manage multiple priorities
  • Physical capability to conduct building inspections (walking, climbing stairs, lifting up to 25 lbs)


Preferred:
  • Associate's degree or relevant technical certification
  • Experience in commercial real estate or corporate facilities environment
  • Knowledge of building systems (HVAC, electrical, plumbing, life safety)
  • Familiarity with workplace services and hospitality best practices
  • Experience with Corrigo, Maximo, or similar work order management systems

Work Environment

This position operates in a professional office building environment with regular interaction with building occupants and service providers. The role requires mobility throughout the facility, including stairs and mechanical spaces. Standard business hours with occasional flexibility required for special events or urgent situations.
